Administration Tasks
- Recording and registering invoices received from departments in the addition ledgers and submitting them to the accounting unit.
- Items are added to the write-off ledgers for each department and disbursed to determine the added and disbursed quantities in the ledgers.
- Invoices are entered into the warehouse manager’s software.
- A reconciliation is performed every three months in conjunction with the warehouse managers to ensure the accuracy of the data and ensure no errors in the ledgers.
- An annual inventory is conducted based on the books.
- Entering the names of all items in the college’s public warehouse, including the number, price, and total.
- Tasks include controlling and inventorying all personal equipment, including scientific equipment, furniture, and other items, for faculty members, their assistants, and laboratory staff in the College of Science.
- Enter all personal documents into the Amin program, as shown in the disbursement form separately, and also record them in Form 193 in the personal documents file for each person
- Sign releases for any faculty member, their assistants, and lab technicians at the college, after ensuring that all the custody they have transferred to another person in the same department has been transferred on a form specifying the transferred items and quantity.
- Conduct an annual inventory to verify the accuracy of the data recorded on Form Warehouses, and have each custody holder sign to verify the validity of their custody
- The warehouse manager program has been activated, with 100% entry and is currently in operation.
- Classifying and numbering items in the main and subsidiary warehouses
Objectives
-Warehouse management aims to optimize the use and utilization of space, equipment, and manpower. Increase access to all available resources and contribute to the preservation and protection of materials. Warehouse management handles receiving, delivery, storage, sorting, record keeping, order processing, and retrieval.
-Planning warehousing operations and procedures, such as managing the storage site and monitoring inventory.
-Ensuring compliance with occupational health and safety procedures.
-Assisting in conducting inventory counts and detecting any shortages, theft, or damage, or detecting incorrectly shipped orders. Any loss of inventory can cause damage, and various techniques can be used to maintain inventory and deliver it to employees
